User Guide

B1Links

Your everyday front-end for SAP Business One — on the web, desktop and mobile. This guide shows how to sign in, get around, work with your data, and (for admins) configure the system.

What is B1Links

B1Links is a single application that runs on top of SAP Business One. It gives you a clean, modern screen for the SAP work you do every day — and it runs the same way in a web browser, as a Windows desktop app, and as an Android mobile app.

No separate database.
Everything you see and save lives in SAP (through the Service Layer). B1Links never keeps its own copy of your business data.
Standard SAP logic.
It follows normal SAP Business One rules. Extra fields are SAP user-defined fields; extra records are SAP user tables.
One app, many companies.
The same app can connect to several SAP company databases — you choose which one at login.
Configurable, not coded.
Admins turn modules on/off, arrange menus and control who sees what — no programming.
In shortB1Links is a friendly face for SAP B1. When you save a record or press a button here, it becomes a real SAP document.

Signing in

On the web

  1. Go to https://www.ftzones.com/B1Links (or open the B1Links tile on the Fast Track launchpad).
  2. If more than one company is available, choose your Company from the list.
  3. Enter your User and Password and press Sign in.
Demo loginThe sample administrator account is admin / admin123. Your organisation will give you your own user.

On desktop (.exe) and mobile (.apk)

The desktop and mobile apps talk to the same server, so the first time you open them, set the Server URL field on the login screen:

Server URLhttps://www.ftzones.com/B1Links — type it in the Server URL box on the login screen, then sign in as usual. The app remembers it.

App users vs SAP users

  • Web & mobile use a B1Links app user (managed by your admin).
  • Desktop signs in with your real SAP Business One user.

Your profile & signing out

Click your initials at the top-right to open your profile — it shows your name, company, user type and roles, with buttons for Settings and Sign out. You can also use the Sign out button on the top bar.

Finding your way around

Top bar
The B1Links logo returns you Home. Beside it: your name, company and user type. The ☰ button collapses the side menu; the round avatar opens your profile.
Side menu (left)
Each folder is a module (Financials, Sales, Inventory, Oil Palm, F&B…). Click a folder to open it and see its screens. Folders follow the standard SAP B1 order.
Home page
Overview tiles show live counts; Quick access cards jump to the screens you use most.
Search
Most list screens have a search box and quick filters to narrow the rows.
First login looks empty? The side menu now loads in full as soon as you sign in. If a folder ever looks stale, refreshing the page always reloads the latest menu and data.

Working with data

Every screen in B1Links is a window onto a SAP record type. They all behave the same way, so once you learn one you know them all.

  1. Open a folder in the side menu, then click a screen (e.g. Business Partners, Batches).
  2. You get a list — a table on desktop, tidy cards on a phone. Use the search box, quick filters, or the Mine toggle to narrow it.
  3. Click a row to open the record. Edit the fields you need and press Save.
  4. Use New to create a record, and Delete where it is allowed.
Saved straight to SAPWhen you press Save, the record is written directly into SAP Business One — there's no separate sync step.

Barcode scanning

On a phone or tablet, B1Links can read a barcode with the camera — no extra app and no scanner hardware.

  • Find an item — open Items (or any list) and tap the barcode button next to the search box. Scan, and if exactly one record matches it opens straight away; otherwise the scanned code is left in the search box as a filter.
  • Add a line to a stock document — in Goods Receipt, Goods Issue, Stock Transfer, Inventory Transfer Request or Inventory Counting, tap New, then use the barcode button beside the "Add Items…" box. Each scan adds the item as a line with quantity 1, which you can then adjust.
  • Scanning matches the item's bar code or its item code. If nothing matches, the app says so and leaves the code in the box.
On a desktopThe camera button only appears where the device can scan. Plug-in USB or Bluetooth scanners work everywhere without it — they type the code into whichever box has the cursor, so just click the search box (or the Add Items box) and scan.
First scanAndroid asks for camera permission the first time. If it was refused, allow the camera for B1Links in the phone's app settings.

Photos & attachments

Open a saved record and scroll to Attachments to keep photos and files with it — a delivery note, a damaged pallet, a receipt for a staff claim.

  • Take photo opens the camera on a phone or tablet; Add file picks from the gallery or files (images and PDFs, several at once).
  • Photos are shrunk before sending, so a scan on mobile data stays quick and the SAP folder doesn't fill with 8 MB camera files.
  • Tap a thumbnail to open the full picture.
  • Attachments are stored in SAP, as the record's normal attachments — so SAP client users see exactly the same files on the same document.
Where it appearsOn any saved record whose SAP object supports attachments — sales and purchase documents, goods receipts and issues, stock transfers — plus staff claims and progress claims. It isn't shown while you are still creating a record, because the file needs a saved record to attach to.
Set up once per companyAn administrator must set Administration → System Initialization → General Settings → Path → Attachments Folder in the SAP client, to a folder the SAP Service Layer can write to. Without it SAP refuses every upload. Keep Block Executable Attachments Based on MIME Type switched on — photos pass it; note that Office files (XLSX, DOCX, PPTX) can be blocked by that check.

Exporting a list to Excel

Any list can be saved as a CSV file that opens straight in Excel.

  • Filter or search the list until it shows what you want, then press Export.
  • The file contains every matching record — not just the rows on screen — with the same columns, headings and formatting you see.
  • Very large lists are cut off at 5,000 rows; the app tells you when that happens, so narrow the search or use a filter and export again.
Opens cleanly in ExcelThe file is saved as CSV with the encoding Excel expects, so accented names and symbols come through correctly. On the desktop app you are asked where to save it.
Not on phonesAndroid's built-in browser view can't save files, so the Export button only appears on the web and desktop versions.

Actions & posting to SAP

Some screens have action buttons that do more than save a field — they post real SAP transactions such as inventory movements, invoices, journals and payments.

Example buttonWhat it posts in SAP
Post batch (F&B)Issues the ingredients and receives the finished bulk at cost
Certify & post (Construction)Raises an A/R invoice for the progress claim plus a retention journal
Post mill / refinery runIssues FFB / CPO and receives the co-products at their allocated cost
Post to A/P & Pay (Staff claims)Creates a payable against the employee-vendor, then an outgoing bank payment
They're safe to pressEvery posting action is idempotent (it won't post twice if you click again) and self-healing (if a later step fails, the earlier one is automatically reversed, so you're never left half-posted). A confirmation box explains what will happen before anything is posted.

The modules

B1Links ships the standard SAP business modules plus a set of industry packs. Your admin decides which ones are switched on for your company.

Standard business modules

Business Partners, Sales (A/R), Purchasing (A/P), Inventory, Production, Financials, Banking, Service, Project Management, Human Resources — the familiar SAP B1 areas, each in its own folder.

Industry packs

PackWhat it does
Oil Palm — EstateBlocks, FFB harvest, weighbridge and estate records.
Oil Palm — MillMill run: turns FFB into CPO + PK, splitting the cost across the two co-products.
Oil Palm — RefineryRefines CPO into RBD Olein, Stearin and PFAD with co-product costing.
ConstructionContracts, bills of quantity, variation orders and progress claims (certify → invoice + retention).
F&BReusable recipes, production batches, a QC release gate, and pack-out to finished goods.
Pharma (GMP)Adds a Certificate-of-Analysis gate, deviation log, e-signature and UDI on top of the F&B batch.
Routing & Work CentresWork centres and routings so labour & overhead are absorbed into product cost.
Staff ClaimsEmployees submit expense claims; approvers post them to A/P and pay them from the bank.

Example flow — a food & beverage batch

  1. Open a Recipe and press Create batch — it scales the formula and builds the batch with its ingredient lines.
  2. On the Batch, press Post batch — ingredients are issued and the bulk is received at cost.
  3. Quality checks the batch and presses QC release (with the Pharma pack, all tests must pass and no critical deviation may be open).
  4. On a Pack order, press Pack out — bulk + packaging become cased finished goods, each with its lot and expiry.

Web, desktop & mobile

It's the same app everywhere — the difference is mostly what's shown and how you sign in.

WebDesktop (.exe)Mobile (.apk)

The Field roleFor staff who only need a handful of screens on the phone (harvest, weighbridge, batches, stock movements, claims), admins can assign the Field role. A Field user sees only those screens — a clean, focused menu — while still being able to post their work.

Configuration — for administrators

Administrators open Configuration (the gear in the side menu) to shape the system without any coding. Each tab is described below.

TabUse it to…
PacksTurn modules/industry packs on or off for the company.
Menu & AccessSet each screen's group, roles, channels, Home tile — and create/rename folders.
Menu LayoutDrag-and-drop the sidebar — reorder screens and folders visually.
ScreensThe screen designer — build or adjust a screen's fields, columns and actions.
Roles / App UsersCreate roles (permissions) and app users, and assign them.
Screen AccessDecide exactly which screens each user, role or SAP user can see — read-only or editable.
Dashboard KPIsConfigure the Home overview tiles.
CompaniesAdd and manage the SAP companies the app connects to (super-admin).
SystemSync metadata from SAP, check Service Layer coverage and generate missing screens, (re)seed screens.

Turning modules on / off

Configuration → Packs. Toggle any module or industry pack for the current company. A disabled pack simply hides its folder from the menu — the data is untouched. Each row shows how many screens the pack contains.

Per companyPacks are set per company, and apply to all channels (web, desktop, mobile) of that company.

Roles & users

Configuration → Roles and App Users. A role is a set of permissions (which records a user may View / Edit). A user is assigned one role.

  • Restrict a screen to a role by listing the role in the screen's Roles (Menu & Access). Blank = anyone with View permission.
  • Field role — a special role that shows a user only the field/operational screens (great for phones), while never hiding those screens from managers.
SecurityPasswords are stored safely (hashed) and never shown. Deactivating a user keeps their history intact; users are not hard-deleted.

Screen access — who sees what

Configuration → Screen Access. The system administrator picks, screen by screen, what each person can see.

  1. Choose App users, Roles or SAP users (desktop sign-ins), then pick someone from the list. Each row tells you what they see today.
  2. Switch to Only selected screens. Screens are grouped by module — tick a module to grant all of it, or expand it and tick single screens.
  3. Tick Edit on a screen to let them create, change and run its actions; leave it clear for read-only.
  4. Press Save. The change applies on the user's next page load — they don't need to sign out.
  • User beats role. A user's own selection overrides their role's. Give a whole team the same screens on the role, then fine-tune individuals.
  • Standard rules (no selection) keep the previous behaviour: the role's permissions and the Roles column in Menu & Access.
  • Copy from… starts from another user's or role's selection; Grant all / Remove all work on the screens currently filtered.
  • Granting a screen also grants the data it shows (including lists it looks up, such as customers on a sales order). A read-only grant really is read-only.
  • Administrators with full access always see everything. The shortcut 🔒 button on App Users and Roles opens the same editor.
Still appliesPacks and channels still filter on top: a screen in a disabled pack, or not ticked for Mobile, stays hidden even if granted.

Posting configuration

Configuration → Packs → Posting configuration. This tells the action buttons which SAP accounts, warehouse and prices to use for the current company — for example the WIP/clearing account, the contract revenue and retention accounts, the labour/overhead recovery account, and the co-product sale prices.

Why it mattersEvery company has its own chart of accounts. Setting these once means the same action buttons post correctly for each company. If a posting is ever rejected because an account can't take the entry, B1Links tells you exactly which setting to change.

Companies & setup

Configuration → Companies (super-admin). Add the SAP company databases the app may connect to; users then pick their company at login. New companies can be discovered automatically from SAP.

Configuration → System — after someone adds new fields or tables in SAP, use Sync from SAP so B1Links picks them up. This is also where you re-seed the default screens.

Service Layer coverage (same tab) shows whether every object SAP exposes has a screen. After an SAP upgrade or a new user-defined object, press Generate missing screens: B1Links builds a read-only starter screen for each, placed in the right module, which you can refine in the designer.

Tips & FAQ

The mobile app says "failed to fetch."
Check the Server URL on the login screen is exactly https://www.ftzones.com/B1Links (capital L). The phone needs an internet connection.
A screen shows a red error when I open it.
A few rarely-used SAP setup screens (images, some localisation lists) can't be listed by SAP itself — that's a SAP limitation, not a fault in your data. Stick to the business modules.
I changed the menu but don't see it.
Menu changes are saved in SAP and appear on the next page refresh; sign-out isn't needed.
Can I use it offline?
No — B1Links always talks to your live SAP company, so it needs a connection to the server.
Is anything stored only in the app?
No business data. Small conveniences (like your chosen Server URL) are kept on your own device only.
